Q: How long does it take to get started?

A: We generally get applications up and running in about a day. More complex applications could take longer. We will evaluate each application and the installation requirements with you and set the appropriate expectations.

Q: Do we need to buy your billing software?

A: We do not sell billing software. Our browser-based software is free and is used by our clients to enhance the experience of outsourcing their invoices and related customer correspondence.

Q: What type of export data can you accept?

A: In order to completely interface with the software, your billing must be provided in an ASCII or XML data output file. We have standard formats that we prefer to work with and are designed to maximize the invoice’s design capabilities. Outside of these standard formats, we can produce custom processing programs to handle a wide range of data formats.

Q: What format do you prefer for logos and pictures?

A: We can accept a wide range of graphic formats. However, in order to produce the best print quality, we like to work with a logo that is 300 dpi or greater and at least three inch by five inches. If you do not have an electronic rendering of your logo, we can re-create it. SpanDocs works with a highlight color print process and currently limits graphics to be reproduced in a single color (red, blue, or green) plus black. Logos that contain more then one color must be re-worked to comply with these requirements.

Q: How often can we send billing files?

A: As often as you like, 24 hours a day, 7 days a week.

Q: How do we transmit the files to you?

A: Files can be uploaded with our convenient upload tool at www.thebillingmachine.com, via FTP, or special scripting for HTTP transfers.

Q: How can we confirm you received the files?

A: Your first notification is displayed on screen immediately following a successful transfer.

Q: How do you charge for your services?

A: SpanDocs charges a competitively priced rate for its services. We charge a one-time Ask us how we can fit our services to meet your budget.

Q: Do you have minimums?

A: You won’t find minimums here. Alternatively, we employ a flexible pricing matrix. SpanDoc’s pricing strategy is attractive to higher volume mailers, as well as companies that want to improve cash flow by mailing lower volumes of invoices on a daily or weekly basis.

Q: What are your typical setup costs?

A: Yes. We have a low standard set up charge that includes:

  • TWO BILLING PROFILES to accommodate a recurring billing application and an additional Late Notice or Welcome package
  • TWO MARQUEE ADS to facilitate targeted cross promotions, and
  • Digitized logo formatting.

Additional costs may be incurred depending on the complexity of the installation.
